Corporate Software Training RFP Template

Define software-training scope, delivery requirements and evaluation criteria with a practical RFP template. Prepare a clearer request for training providers.

Request outline

  1. Organisation and work context. Describe the work to improve and why training is being considered. Include relevant constraints without unnecessary confidential detail.
  2. Learners. State approximate participant numbers, roles, starting experience, locations and availability.
  3. Required outcomes. Describe observable tasks participants should be able to complete. Separate essential outcomes from optional topics.
  4. Software and access. List products, versions, accounts and permissions that affect practice.
  5. Delivery requirements. State timing, location or remote requirements, accessibility needs and any constraints on session length.
  6. Provider response. Request the proposed approach, instructor experience, practice method, materials, assumptions and exclusions.
  7. Pricing response. Ask for itemised fees, currency, taxes, preparation, travel if relevant, and optional services. Request actual cancellation and change terms.
  8. Evaluation. State how fit, delivery, evidence and cost will be considered. Use criteria approved through your organisation’s purchasing process.
  9. Questions and submission. Give the contact, question deadline, response format and submission deadline.
  10. Selection and next steps. Explain the expected review process and when providers should expect an update.

Make responses comparable

Provide a small anonymised task description and ask how the proposed training would address it. Invite providers to flag prerequisites or assumptions that could prevent the outcome. Require them to distinguish a confirmed service from an optional idea.

Use the provider checklist to support review and the proposal template when narrowing the scope. This document is a purchasing aid, not a statement of procurement or contract requirements for your organisation.
