Using Company Files in Corporate Training

Use company files only after preparing a safe training example

A familiar file can make training relevant, but it should be deliberately prepared for classroom use. Remove personal, customer, employee and commercially sensitive information unless its use is explicitly authorised. Replace it with fictional values that preserve the structural problem the learner needs to solve.

Compare the practical requirements

Keep the original in the organisation’s controlled location and provide a separate exercise copy. Include a short description of the fields, the intended result and any known exceptions. Confirm who may receive the file and whether the session recording or shared workspace could expose its contents.

Work through an example

For an Excel report, preserve a changed heading, duplicated identifier or awkward date format while replacing the actual records. For a Word example, keep the layout problem without real contractual or personal details. The safe example should reproduce the learning problem, not reproduce the organisation’s entire information estate.

Decide what to book or request

Agree preparation and review responsibilities in the quote. A provider’s willingness to look at a file does not authorise sharing it. After training, apply changes to a controlled copy and follow the organisation’s approval process before replacing a live workbook, template or operational record.
